We do require payment in full to secure your child/rens place at our club.
Once you have completed the registration form you will receive an invoice containing the payment details to secure the booking.
Please be aware that your child's place is not secured until full payment is received.
Payments are to be made via bank transfer only and no later than 7 days prior to your child's booked date/s.
We do not accept cash payments.
We operate as a (adult-led) Sports & Performing Arts coaching club for children aged 5 - 11 years old (primary school age). We are excempt from Ofsted registration therefore we can not accept tax-free credits or vouchers.
We understand that unfortunate circumstances may occur or last minute plans may arise which may result in your child unable to attend their place.
Due to the nature of the club (limited numbers, materials pre-purchased) and additional costs such as room & pitch hire we can not offer refunds on cancellations. Please keep this in mind when booking your child's place on any club dates.
We will rollover any missed dates to our next club date but do not offer cash refunds for cancellations.
It is fundamental to our club that all members are happy, comfortable and enjoying their experience at all times.
If at anytime we feel your child is unhappy at the club we will make contact with you to express any concerns and discuss the appropriate course of action to take.
Our club is based on the ethos that children attend because they want to; not because they have to!
We do not want your children to view the club as a source of childcare for your purpose, it is so important that children are attending to develop new or hidden skills, socialise & create new friendships and have the opportunity to new or unique educational experiences.
Our club is a happy place where all should feel equal, comfortable, included and most importantly ... a part of the club!
All senior staff have been Paediatric first aid trained by Manchester First Aid Training.
If any accidents, injuries or emergencies should occur you will be notified immediately as soon as the situation has been assessed and actioned accordingly.
Minor accidents & injuries may be actioned with the use of a first aid kit and/or comfort techniques unless instructed otherwise.
Serious accidents or emergencies can result in the appropriate action of alerting the emergency services.
There will be no administration of medicines without written parental consent - this includes calpol or allergy relief.
In emergencies verbal consent will be accepted to administer medicines when needed.
After serious accident, in addition to parents, we are required to notify Ofsted and the relevant services as outlined in our Duty Of Care & Safeguarding Policy.
This policy has been drawn up on the basis of legislation and guidance that seeks to protect children in England.
As an adult-led activity & coaching club we are not required to be Ofsted registered but we do have a duty of care to report any allegations or signs of abuse to the relevant authorities.

Though we run the majority of our coaching activities at the Sacred Heart School we do at times visit local attractions and organise special trips if it benefits the children's coaching programme or session.

During each day children will be given the opportunity to win prizes as an individual or for the group. Prizes are handed out responsibly & may consist of (but are not limited to)
If you would prefer your child/ren to avoid the possibility of Mc Donald's, Hot dogs, face painting, crisps and sweets please state clearly in the additional notes part of your registration form.
We kindly ask that you do provide alternative prizes and treats so your child/ren will feel included.
As a friendly reminder, out of consideration for those who have allergies, please avoid including nut-containing foods in packed lunches. Thank you for your cooperation.
We witness your children experiencing new adventures, developing discoveredskills and having lots of fun; we think its important that you get to see the joy for yourself therefore we do take photos and videos throughout our club sessions to share within our private Parents Club group or send to you personally via WhatsApp.
We do also share some images and videos of our adventures on our social media platforms (Facebook, YouTube and our website).
Please state in the additional notes part of your registration form if you do NOT give consent for photos or video recordings of your child/ren to be shared online.
The purpose of this policy is to ensure that any child who is not collected at 3.30pm is cared for appropriately until parents or guardians can be contacted. We will attempt to contact parents and listed emergency contacts to make alternative arrangements for collection however if this is unsuccessful we will:

It is always our main priority to ensure we are providing a safe, secure and caring environment for children at all times.

If parents wish to make a complaint about any aspect of the club they can do so in private & verbally at a suitable time that is not within club hours; alternatively, parents might prefer to complete a Complaints Form which will be provided on request.
For Safeguarding purposes we ask that you do not discuss your complaint to others in-person or online; do not formally identify any persons directly or indirectly involved within your complaint at any time.
All complaints will be treated confidentially and, to comply with the requirements of Ofsted, will be investigated within 28 days of receipt.
Any complaints relating to safeguarding might also be reported to Wakefield District Safeguarding Children’s Board. Depending on the nature of the complaint, it will be investigated internally or passed to Wakefield District Safeguarding Children's Board.
The outcome of any complaint investigation will be discussed with the complainant if contact details are provided. If the complainant is still unhappy, or at any time in the complaints process, they can contact Ofsted for further advice (details to follow).
A record of complaints will be retained for 3 years and made available to Ofsted on request.

Retention requirements
I am required to keep a record of complaints for 3 years.
To comply with GDPR, the Complaint Record and other documentation will be shredded (paper records) or securely deleted (online records) after the required retention period.
For purposes of the applicable Data Protection law (GDPR 2018); Kids Fun Club is the 'Data Controller'.
This means that Kids Fun Club determines the purpose for which, and the manner in which, your data is processed. We collect your data in the following ways:
